Facilities Use Application & Agreement
- On June 20, 2006, the Pine-Richland Board of School Directors approved a revised policy governing use of the District's facilities, which incorporates a new application form and new procedures for obtaining a permit to use the District's buildings and athletic fields. The new application process will involve some significant changes from prior practice and procedure; however, the Board believes that such changes were necessary in order to address the increasing demand on our facilities brought on by our District's continued growth and in order to ensure that our buildings and fields continue to be maintained at the highest levels. Copies of the revised policy and new application form, as well as a more detailed description of the requirements for applying for a Facilities Use Permit, can be found on the Facilities Use Application. However, the following provides a general overview of the key changes and requirements of the new application process.
- The PRSD is not able to consider applications requesting use of our facilities on dates during the school year until after the school calendar and District athletic schedules are finalized. Accordingly, if a non-school affiliated group desires to request use of one of our facilities on a date or dates during the school year, the PRSD will not be able to consider those applications until after July 15, 2007. If an organization has previously submitted a request for a date during the 2007-2008 school year, they should resubmit their request using the new application form on or after July 15, 2007.
- Applications are required to be submitted at least 45 days prior to the requested date(s). This notice period is required in order to permit the PRSD sufficient time to verify that all application requirements have been satisfied, that the facility is available on the date(s) requested and that the requested event can be appropriately staffed. PRSD will not consider applications submitted less than 45 days prior to the requested date(s).
- If an organization's application is approved, that organization will be issued a Facilities Use Permit for the applicable facility, date and time. The requesting organization must present the permit, upon request, to the PRSD on-site representative in order to gain access to the facility.
- All information requested on the application form must be completed. The application must also be signed by an authorized representative of the requesting organization. The PRSD will not be able to consider incomplete or unsigned applications.
- All non-school affiliated organizations requesting use of the PRSD facilities will be required to submit a security deposit and pay applicable rental and staffing fees. These fees are more fully described on the application form.
